When should I expect to see the reimbursements on my check?
All reimbursements will be made within one of the first two paychecks directly following the end of the month, depending on the pay period end date, for membership fees. Fitness classes will be reimbursed as soon as administratively possible, once completed cards are received.

Is the fitness reimbursement taxable?
Yes. The applicable federal, state and local taxes will be withheld from your paycheck when the reimbursement is received.

My spouse and I are both Grande Associates; will we both be eligible for the full amount of the fitness reimbursements?
As Grande Associates, if you each have an individual membership or purchase fitness classes, you will each be reimbursed 50% of the membership fees up to $400/year. However, if you and your spouse are on a joint membership together as either a couple or family, you will only be reimbursed once.

Can I get reimbursed for past fees?
There are no retroactive reimbursements; reimbursement is contingent on the submission of your monthly Tracking Cards.

How do I remain in the Fitness Reimbursement Program?
To remain in the program you must resubmit the Fitness Reimbursement Form by January 31 each year. You must also continue to submit the monthly tracking sheets before reimbursements will be made.

What if I am a current member to a fitness center prior to the new year?
You must still complete and return a Fitness Reimbursement Form by January 31 with a copy of your current membership agreement, if available. If you sign up for a gym membership mid year you have 30 days from the time you sign up to submit your fitness reimbursement form and a copy of your membership agreement to be eligible for the reimbursement.

What if my gym membership changes?
If your gym membership changes before the plan year end, submit a new Fitness Reimbursement Form for your new fitness center within 10 days of joining.

What classes are eligible for fitness class reimbursements?
Any class that is centered on fitness and physical activity is eligible for reimbursement at this time. Examples: yoga, pilates, zumba, strength training, cardio, boot camp, dance, personal training, etc. Activities must be considered a fitness class –leagues, teams, and competitions are not included. If you have a question regarding a certain class, contact the Benefits Department.

What if classes are included in my fitness center membership?
If the cost to attend a class is included with your membership, you will only be reimbursed for your membership fees and not eligible for reimbursement for those classes. If you attend a class at your fitness center in this instance, this would count as a visit to your fitness center and towards your 10 times/month requirement.

What if I participate in both the fitness center membership and fitness class reimbursements?
You may participate in both reimbursements up to the $400/year maximum; however, you must continue to meet the requirements for each to achieve the reimbursement. For example, if you belong to SNAP Fitness and take classes through the Rec Department you would have to complete the following:

1. Attend SNAP at least 10 times/month to receive the fitness center reimbursement.
2. Complete your class session/punch card with the Rec Department to receive the fitness class reimbursement.

Which fitness centers have a Corporate Discount Program in place for Grande Associates?

  • YMCA’s of Wisconsin
  • Anytime Fitness
  • Club Olympia

If my fitness center offers a Corporate Discount Program for Grande Associates, will that automatically enroll me in the Fitness Reimbursement Program?
No, the only way to be enrolled in the reimbursement program is to complete and submit the Fitness Reimbursement Form and monthly tracking cards.

I paid for my fitness membership in advance. Can I be reimbursed in one lump sum?
No, because reimbursements are made based on monthly utilization they can only be made in monthly deposits. If you paid the fees upfront, they will be calculated to a monthly rate and reimbursed accordingly.

I am on a leave of absence from work (FMLA, disability, or workers compensation). How does this affect my fitness reimbursement?
You are still eligible for your fitness reimbursement if you are on a qualified leave from work, however, you are still held to all reimbursement requirements. Therefore, you must still submit the monthly tracking sheets with gym utilization before a reimbursement will be made. You are still eligible for fitness class reimbursements if you complete at least ¾ of the class session or upon completion of a class punch card.

I travel for work often, how am I supposed to complete my monthly tracking cards when I am out of town?
Even if traveling on business, you are still required to submit a monthly tracking card by the deadline. Many fitness centers have a program to utilize their facilities throughout the US or an “away” program that we strongly encourage you to use to get the most out of your membership. However, if this is not an option, you may utilize the hotel fitness facilities and track visits there.

Are spouses or dependent children allowed to get reimbursed for race events in the fitness reimbursement program?
No, race reimbursement will only apply to the Associate’s participation at this time.
